The Medical Records Coordinator is responsible for managing, organizing, and maintaining patient health records in compliance with federal, state, and organizational regulations. This role ensures the accuracy, accessibility, and confidentiality of patient medical information while proactively engaging with field clinicians to ensure timely submission of documentation.
Key Responsibilities
- Collect, review, and maintain patient medical records (electronic and paper-based).
- Ensure compliance with HIPAA, state, and federal regulations regarding confidentiality and record retention.
- Act as the main point of contact for field clinicians, reminding and following up to ensure timely submission of required paperwork and clinical documentation.
- Track outstanding records and provide regular status updates to management.
- Audit records for accuracy, completeness, and compliance with documentation standards.
- Assist with quality assurance programs and participate in regulatory inspections or audits.
Qualifications - High school diploma or GED required; Associate’s or Bachelor’s in Health Information Management preferred.
- 2+ years of experience in medical records management or health information systems.
- Strong knowledge of HIPAA and medical terminology.
- Strong communication skills with the ability to follow up diplomatically but firmly with clinicians in the field.
- Proficiency in electronic health records (EHR) systems
- Excellent organizational and time-management skills.
- Ability to handle sensitive information with discretion.
